Working within the Creative team the Office Manager, will be the leader and the brand ambassador of the creative department and will work closely with the photographer and videographer as well as organizing and manage administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication with the staff and clients.
Office manager responsibilities include as a team leader scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation, in a unique and creative brand located on the beautiful city of Danang, Vietnam.
Office manager duties are including scheduling meetings and appointments with customer, manage contract and price negotiations with office vendors, service providers, mailing, supplies & equipment management, billing, errands..
Meets with staff and clients to discuss and evaluate ideas for video projects and photoshoot to creates further proposals, outlines and scripts for clarity of purpose, consideration of audience, and appropriate creative and technical approach.
Estimates production requirements (including equipment and crew). Accompanying clients thru all phases of each project to obtain their input, to solve problems, and to keep projects on schedule.
You will have to lead a professional video & photo production team, through the production process.
Coordinate with all departments to ensure that all items are invoiced and paid on time and manage office budget, ensure accurate and timely reporting.
Provide general support to visitors, as well as plan in-house or off-site activities, like parties, celebrations and conferences with the marketing manager.
Assist in the on-boarding process for new hires, Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Organize the office layout and order stationery and equipment, maintain the store condition and arrange necessary repairs, update and maintain office policies as necessary in order to organize office operations and procedures.
What we’re looking for
Proven experience as an Office manager, Front office manager or Administrative assistant would be an advantage.
You’ll have excellent time management skills and ability to multitask and prioritize work, attention to detail and problem solving skills to supplement the Enzo-Creation synergy.
A creative mind is welcome with an ability to suggest improvements driven by a strong organizational and planning competence in a fast-paced environment.
Knowledge of office administrator responsibilities, systems and procedures with a hands on experience with office machines (e.g. fax machines and printers).
Familiarity with email scheduling tools, like Email Scheduler, being Proficient in MS Office (MS Excel and MS Outlook, in particular) is a must.
Excellent english written and verbal communication skills is needed to support our Enzo Creation customer, remaining calm in high pressured situations while being able to give and receive constructive feedback in the meantime.
